Cancellation & Refund Policy

Effective Date: July 19th 2025

To protect the quality of our experiences and the efforts of our team, we have a clear and transparent cancellation and refund policy. Our cancellation policy serves to cover the costs for our vendors as well as compensate us for the risk that we may not be able to resell your spot.

1. Deposits & Payments
   To confirm your booking, we require a non-refundable deposit of 30% of the retreat price. Alternatively, you may choose to pay in full.

The full balance is due 30 days prior to the retreat start date. Failure to complete payment on time may result in cancellation of your booking, in which case we will retain the deposit.

Please note: We do not refund third-party platform, transaction, or processing fees incurred at time of booking.

2. Guest Cancellations
   All cancellation requests must be submitted in writing (email or direct message). If you choose to cancel your booking:

• 90+ days before retreat start: 30% deposit is retained, or may be applied as credit toward a future edition (equal value).
• 60–89 days before retreat start: Choose between a 50% refund or 60% credit toward a future edition.
• 21–59 days before retreat start: Choose between a 20% refund, 60% credit, or a 20% credit toward a future edition.
• Less than 21 days before retreat start: 100% of total cost is retained.

If you have not completed your full payment, the remaining amount must still be paid in accordance with these terms.

Refunds, if granted, will be issued less any transaction, platform, or processing fees incurred.

3. Organizer Cancellations or Postponements
   If City Beach Girls Retreats cancels the retreat, you will receive a full refund of all payments made, less any transaction or processing fees.

If we postpone the retreat, we will reimburse up to €250 in pricing changes for flight, bus, or train tickets with valid receipts. If you are unable to attend the new date, your retreat spot will be transferred to a future edition.

4. Travel Information & Insurance
   You are responsible for obtaining all necessary passports, visas, health documents, and travel insurance. We do not provide immigration or travel requirement guarantees and are not liable for any travel disruptions due to missing documents.

Travel insurance is mandatory for all participants. It must cover cancellation, injuries, personal belongings, medical issues, and repatriation. City Beach Girls is not responsible for injury, illness, theft, lost or stolen items, or other disruptions during your retreat.

5. Changes by the Guest
   Requests to change dates, destination, or accommodation must be submitted in writing and are at our discretion. We are not obligated to make changes. Fees may apply and increase closer to the retreat date. Some services may be non-refundable or incur full costs.
6. Changes by the Organizer
   We reserve the right to modify retreat details due to unforeseen circumstances. In the event of significant changes, guests will be informed promptly and offered the choice to accept the change, cancel with a refund (minus fees), or apply the payment to a different retreat.

Minor changes do not warrant refunds. Minor changes may include shifts in activity types, session times, or accommodation substitutions of equal or higher quality.

7. Terms & Conditions

1. Eligibility
   Our retreats are open to women aged 21 and above. We may accept participants aged 18–20 upon request, please contact us in advance. We welcome mother-daughter or adult-teen pairings, provided the adult takes full responsibility for the minor, including during surf activities.

Participants must be able to swim independently to join surf lessons. Guests of all ethnicities are welcome. It is your responsibility to ensure you hold valid visas and travel documents. If you are unable to enter the host country due to documentation issues, we cannot offer a refund beyond our standard cancellation policy.

2. Code of Conduct
   We maintain a respectful and inclusive environment. Discrimination, harassment, bullying, or violence of any kind will not be tolerated. We expect all participants to respect each other’s boundaries, personal space, and participation choices.

You are responsible for any damage caused to property, accommodations, or equipment during the retreat. We reserve the right to charge you for repairs or replacements if needed. We are not responsible for lost or stolen personal belongings.

Failure to comply with this code of conduct may result in immediate removal from the retreat without refund.

3. Room Assignments
   Rooms are assigned by City Beach Girls based on preferences collected in your booking form. We aim to pair participants with similar languages or interests to encourage connection.

If you’re traveling with a friend and selected the same room type, you will be hosted together. If different rooms were booked by mistake, please message us. In that case, the person with the higher room rate will be downgraded without a price adjustment. If you booked separately, notify us at least 4 days before the retreat—otherwise, we can’t guarantee rooming together.

4. Activity Waivers
   Participation in surf classes, excursions, or other physical activities is voluntary and at your own risk. You will be required to sign a waiver prior to participating.
5. Media Consent
   By joining a City Beach Girls retreat, you consent to being photographed or filmed by our team, guests, or sponsors. These images may be used for marketing, social media, and promotional purposes. If you prefer not to appear in any media, please let us know in writing and we will do our best to accommodate your request.

By participating, you release all rights and claims regarding use of your likeness and grant City Beach Girls an irrevocable, royalty-free license to use these materials worldwide.

6. Governing Law
   These terms are governed by and interpreted in accordance with the laws of the Netherlands. Any disputes arising will be subject to the exclusive jurisdiction of Dutch courts.
7. Severability
   If any provision of these terms is held to be invalid, illegal, or unenforceable, the remaining provisions shall remain in full force and effect.
8. Booking on Behalf of Others
   If you book a retreat on behalf of other participants, you represent that you have obtained their consent and that they agree to be bound by these terms and policies. If you fail to do so, you are solely responsible for any resulting issues or liabilities.
9. Language of Interpretation
   These terms are written in English. If they are translated into another language, the English version shall prevail in the event of any discrepancies.
